Who we are

Dealerloop provides software that helps Australian car dealerships respond to, qualify and follow up sales enquiries. This policy covers our marketing website and our enquiry forms. Where we process leads and conversations on behalf of a dealership, that dealership is the controller of that data and we act as its service provider under our customer agreement.

Information we collect

We collect:

• Enquiry details you give us through our demo form: your name, dealership, work email, phone number, number of locations, and anything you choose to tell us in the message field.
• Messages you send us directly (for example, by email).
• Usage and device data collected automatically when you visit the site, such as pages viewed, approximate location, browser and device type, via privacy-respecting analytics.

When you use the Dealerloop product as a dealership customer, the leads and conversations processed through the product are handled under our separate customer agreement and remain the dealership’s data.

How we use your information

We use personal information to:

• respond to your demo request and contact you about Dealerloop;
• provide, maintain and improve the product and website;
• meet our legal, compliance and record-keeping obligations.

We do not sell your personal information.

Consent, SMS & email (Spam Act)

The Dealerloop product sends SMS and email on behalf of dealerships only where there is a lawful basis to do so. Messages identify the sender, and every message includes a simple way to opt out: replying STOP to an SMS, or using the unsubscribe link in an email. Opt-out requests are actioned promptly. We also support quiet-hours and clear AI-assistance disclosure on conversations handled by the product.

Disclosure to third parties

We share personal information with service providers who help us run Dealerloop, for example, cloud hosting and database infrastructure, email/SMS delivery, and analytics. These providers are bound to protect your information and use it only to provide services to us. Our primary cloud hosting and databases are located in Australia. Some delivery providers (for example, email) may process limited data overseas; where they do, we take reasonable steps to ensure comparable protection. We may also disclose information where required by law.

Data security & retention

We take reasonable technical and organisational steps to protect personal information from misuse, interference, loss, and unauthorised access, modification or disclosure. We retain personal information only for as long as needed for the purposes described here or as required by law, then delete or de-identify it.

Your rights

You may request access to, or correction of, the personal information we hold about you, and you may ask us to delete it where we are not required to keep it. To make a request, or to raise a privacy concern, contact us at the address below. If you are not satisfied with our response, you may contact the Office of the Australian Information Commissioner (OAIC).

Cookies & analytics

We use Google Analytics to understand how this site is used and to improve it. It sets first-party cookies and collects usage data such as pages visited, approximate location, device and browser, and how you arrived at the site. This information is processed by Google under its own privacy policy. We do not use it to identify you personally. You can control or block cookies through your browser settings, or opt out of Google Analytics with Google’s opt-out browser add-on.
